Encrypted Email Procedures

DSS has developed a new e-mail policy in an effort to protect personal information.  An e-mail that contains information such as social security numbers must be encrypted.  This means you need a user name and password to open it.  This policy includes e-mails that contain personal identifying information in the body of the e-mail or in an attachment.  E-mails that do not contain this type of information will not be encrypted. 

Listed below are instructions for opening an encrypted e-mail.

 If a user name and password have NOT been created:

1.         Save or open the attachment in the e-mail

2.         Click “View Your Encrypted Message”

3.         Create a Microsoft Account by clicking “Create Microsoft Account”

4.         Fill out the requested information (phone number is optional)

5.         Verify your e-mail address by clicking the blue link above account information

6.         Click “Send email”

7.         Return to your e-mail account and look for an e-mail from “Microsoft 

            Account Team.”  It might be in your Spam folder

8.         Open the “Verify” e-mail and click the blue “Verify” button

9.         Return to your encrypted e-mail

10.       Save or open the attachment in the e-mail again

11.       Click “View Your Encrypted Message” again

12.       Enter your User Name and Password

(Note: Don’t forget to Sign Out when you’re finished.)

1.       Save or open the attachment in the e-mail

2.       Click "View Your Encrypted Message

3.       Enter your User Name and Password
